Job Description

We are seeking a reliable and detail-oriented Administrative Support Specialist to provide essential support for project and office operations. This role is critical in maintaining smooth administrative processes, ensuring compliance with health and safety standards, and supporting project milestones. The ideal candidate will be organized, proactive, and capable of handling a variety of tasks in a dynamic work environment.

 

This position is contingent upon contract award.

 

This position performs a wide range of administrative and operational tasks to support project teams and office functions. Responsibilities include general office upkeep, data entry, mail processing, and coordination of major administrative activities.

 

Key Responsibilities:

  • Follow all health, safety, and environmental requirements.
  • Perform cleanup duties and material handling/storage tasks.
  • Process incoming and outgoing mail.
  • Perform filing, copying, and miscellaneous typing.
  • Oversee general office upkeep, including ordering supplies, maintaining printers/fax machines, and managing paper inventory.
  • Perform data and time entry.
  • Manage calendars and coordinate travel arrangements as required.
  • Plan and coordinate major administrative project activities, supporting task force objectives and project milestones.
  • Participate in meetings as required.
  • Assist with maintaining project logs and numbering systems (both hard copy and electronic).
  • Conduct assigned projects accurately and in a timely manner.
  • Perform other miscellaneous tasks as requested by the management team.

Job Requirements

Mental Demands:

  • Understand and carry out oral and written instructions.
  • Work at varying heights and recognize, avoid, and report safety hazards.
  • Assemble and disassemble objects; operating equipment and power tools.
  • Ability to see hazards, safety warnings, and barriers.
  • Bend, stoop, kneel, and reach for work tasks.
  • Lift up to 50 lbs without assistance.
  • Respond to audible/visual instructions, alarms, and warnings.
  • Climb and balance on ladders, scaffolding, and structures.
  • Demonstrate manual dexterity for work tasks.

Working Conditions:

  • Work in extreme heat or cold.
  • Work in environments with noise levels above 85 decibels.
  • Work in wet/humid conditions, cramped quarters, and fluctuating ventilation.
  • Work both indoors and outdoors.

Market Rate Statement: The market rate for the role is typically at the mid-point of the salary range; however, variations in final salary are determined by additional factors such as the candidate’s qualifications, relevant years of experience, geographic location, internal pay equity, and prevailing market conditions for the specific role.
