Job Description
This position provides tactical and administrative support to the Contracts team by assisting Contract Management Specialists in executing routine tasks. The role ensures accuracy, compliance, and timely processing of contract-related documentation and activities.
This position will be located in Fort Saskatchewan, Alberta
Key Responsibilities
- Document Control & Filing:
- Establish and maintain organized filing systems (electronic and hardcopy) for contracts records.
- Receive, distribute, and file correspondence from contractors.
- Meeting & Communication Support:
- Assist Contract Administrators in preparing and distributing meeting minutes and official correspondence.
- Track, expedite, collect, and compile contractors’ daily, weekly, and monthly reports and other required submissions.
- Data Management & Reporting:
- Input and update data in internal contract management systems (e.g., CMSi).
- Prepare contract-related reports under guidance from senior team members.
- Invoice & Compliance Support:
- Assist in verifying contractor invoices for accuracy and compliance with contractual terms.
- Support adherence to company policies and procedures in all contract activities.
- General Administrative Support:
- Perform additional administrative duties as required to support the Contracts team.
Basic Job Requirements
- Combination of education and experience equal to three (3) years in administrative or contract-related roles.
- Proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint) and Adobe Acrobat.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Effective communication skills with internal and external stakeholders.
- Attention to detail and ability to work in a time-sensitive environment.
Other Job Requirements
- Stay current with Contract Management practices and procedures.
Preferred Qualifications
- Experience providing administrative support in a contracts environment.
- Ability to create and maintain tracking logs and lists.
- Familiarity with expense reporting and document control processes.
- Flexibility to handle routine and non-routine tasks daily.
- Willingness to learn contract management workflows and systems.

The market rate for the role is typically at the mid-point of the salary range; however, variations in final salary are determined by additional factors such as the candidate’s qualifications, relevant years of experience, geographic location, internal pay equity, and prevailing market conditions for the specific role.
